    The Kenyan Embassy in Brussels has a vacancy for the post of Consular Clerk. The Post is aimed at being filled internally. 
     
    ORGANIZATION CONTEXT

    The Embassy of Kenya in Brussels is a diplomatic mission which is accredited to the Kingdom of Belgium; The Grand Duchy of Luxembourg and the European Union (EU).
    Its mandate is to promote and enhance bilateral relations between Kenya, the Kingdom of Belgium and the Grand Duchy of Luxembourg, and to strengthen relations with the European Union (EU), the World Customs Organization (WCO), the African, Caribbean and Pacific (ACP) Group of States, and other international organizations.
    It also aims at expanding, consolidating and strengthening the multilateral and bilateral relations in various fields such as finance, trade and development, tourism and education amongst others.
     
    SCOPE OF WORK
    The Consular Clerk will be engaged on local terms and will serve as the first point of contact with various individuals or corporate bodies seeking consular services at the Embassy. The core duties will entail conduct of due diligence in the extension of consular advice, assistance and services to Kenyan and non-Kenyan nationals living in or traveling through Belgium and Luxembourg.
     
    MAIN DUTIES & RESPONSIBILITIES 
     
    Summary of Key Functions
    • Facilitate the diligent issuance of necessary travel documents to both Kenyan and foreign nationals
    • Extend the necessary consular services to both Kenyan and foreign nationals
    • Presentation of analysed periodic returns on monthly, quarterly and yearly basis
    • Management of the Diaspora database and coordination of diaspora-related activities
    • Other duties as may be assigned by the supervisor or Head of Mission.
    QUALIFICATIONS  
     
    Education
    Post high school professional qualifications from a recognised institution in office administration or a related field is required.
     
    Work Experience
    Five years relevant experience within Belgium, the European Union, any other foreign Embassy, or related experience is required.
     
    Language Proficiency
    Fluent working knowledge of English, French and Dutch.
     
    Job Knowledge
    Sound understanding of Kenyan, Belgian, Luxembourgish and European Union’s social, mobility/ migration and political environment. In particular, the candidate will be expected to be familiar with the Kenya Citizenship and Immigration Act, 2011, the working guidelines of the Directorate of Immigration and Registration of Persons and Registrar of Marriages. Knowledge and understanding of the local Immigration Practices and regulations is a necessity. Good working knowledge of MS Word and Excel is required.
     
    Skills and Abilities
    Ability to work well with others and to communicate clearly both orally and in writing. Ability to obtain and evaluate data, to prepare accurate and precise reports. Also, should have good information management and computer skills.
     
    Other requirements 
    • EU/or Belgian Residence   or valid work permit 
    • Recommendation letter or certificate of good conduct from a recognised civil security agency
    • Prove of residence in a local commune 
    • Three referees
    CONDITIONS OF SERVICE
     
    The engagement will be a one (1) year contract renewable subject to satisfactory performance.
